What Bookkeeping Costs in New York City

Nobody publishes this clearly. Here are the real ranges for early 2026.

Add $75 to $250 a month if payroll is bundled in. Sales tax filing runs $50 to $150 per period.

Flat rate or hourly?

Take the flat rate. Almost always.

Hourly billing punishes you for a messy month. And a messy month is exactly when you need the most help. It also makes you pause before you ask. That is how small problems turn into April chaos.

Hourly works for a one-off cleanup with a clear end point. Even then, ask for a capped quote in writing.

The cost nobody warns you about

Switching bookkeepers costs more than the fee gap.

Move firms, and the new team must review last year. They rebuild the chart of accounts. They redo anything done wrong. That is $500 to $2,000 of setup work. It is rarely quoted upfront.

So the cheap firm you fire in eight months costs more than the mid-priced one you keep for five years. Ask about setup fees before price decides it.

Catch-up and Cleanup Bookkeeping

Six months behind? You are not unusual. This is the top reason New York owners call a bookkeeper.

Catch-up is priced apart from monthly work. It is billed per month of backlog. Expect $150 to $500 for each month that needs rebuilding.

Three things make it cheaper.

  • Send bank and card statements as PDFs. Not screenshots.
  • Do not tidy the QuickBooks file first. You will make it worse.
  • Say honestly which cards mixed personal and business spending.

That last one feels awkward. It is not. Every bookkeeper in this city has seen it. Hiding it just means they find it later and bill you for the search.

Bookkeeping and Payroll together

Most NYC firms bundle these, and for good reason. Payroll feeds straight into your books. Split it across two vendors and things go missing in the gap.

Have staff in New York? Someone has to handle all of this.

  • Federal and New York State withholding.
  • New York City resident tax for staff who live in the five boroughs.
  • The Metropolitan Commuter Transportation Mobility Tax, or MCTMT.
  • Quarterly NYS-45 filings.
  • W-2 and 1099 forms each January.

The MCTMT is the one that catches people. Run payroll in the MTA region and cross the threshold and you owe it. Nobody sends a friendly reminder.

Ask any firm whether payroll is included or billed on top. Get the number in writing.

Outsourced or in-house?

An in-house bookkeeper in New York City costs $55,000 to $75,000 a year. That is before benefits, payroll tax, software and the desk. Call it $80,000 all in.

Outsourcing the same work runs $5,000 to $18,000 a year for most small firms.

That gap is why most firms under $10 million outsource. In-house starts to make sense when volume is high enough to need someone daily. Or when you hold stock that needs watching.

There is a middle path people forget. Keep a part-time person for data entry and receipts. Outsource the reconciles, reports and filings. It works well for restaurants and retail.

Virtual, local, or both?

Almost every firm here works remotely now. Bank feeds connect direct. Papers upload to a portal. You may never visit their office.

So does a local address still matter?

Yes. Three reasons. New York sales tax rules are strange, and an out-of-state firm learns them slowly. Rent rules, MCTMT and city business taxes all have local quirks. And when a state notice lands, a firm that has answered fifty of them moves faster than one seeing its first.

You do not need someone who will drive over. You need someone who has fought this state before.

Which Borough Should You Search in?

Less than it used to matter, honestly.

Manhattan firms run larger and price higher. Many focus on finance, law, media and tech. Good if you need CFO-grade reporting.

Brooklyn holds the most small-business experts. Pricing is friendlier. Strong for restaurants, builders, studios and shops.

Queens has fewer dedicated book firms and more general tax offices. Great for multilingual service and very small firms.

The Bronx and Staten Island have few local options. Most owners there work with Manhattan or Brooklyn firms remotely.

In Long Island or Westchester? Everything on this list will serve you.

How to Choose, in Five Steps

  1. Count your transactions. Pull last month’s bank and card statements. Count the lines. Every quote depends on this number. Guessing wastes everyone’s time.
  2. List what you need beyond the books. Payroll? Sales tax? A monthly call? 1099s in January? Write it down before you call anyone.
  3. Ask three questions. Who does the actual work on my account? What if that person leaves? How fast do you reply to email? The answers sort real firms from resellers fast.
  4. Ask to see a sample report pack. Not a brochure. A real one with the names blanked out. If they will not show you one, that tells you plenty.
  5. Read the exit clause before the price. How much notice must you give? Do you own your QuickBooks file? What do they charge to hand back records? Some firms hold files hostage. Find out now, not in two years.

Red Flags to Avoid

Walk away if you see any of these.

  • No written pricing. Or a quote that changes once you mention payroll.
  • They will not say who does the work.
  • No New York address anywhere on the site.
  • They ask for your bank login instead of read-only access.
  • Pressure to sign a year-long deal on the first call.
  • No liability cover.
  • Vague answers about where your records are kept.

That fourth one is serious. A bookkeeper needs to see your transactions. They do not need the login that lets them move money.

Most NYC small firms pay $300 to $1,500 a month. Freelancers sit at the low end. Restaurants and multi-site firms sit at the top. Payroll adds $75 to $250. Ask whether sales tax filing is included. Often it is not.

Match the firm to your volume and industry, not to the lowest price. Under 50 transactions a month, a solo bookkeeper works fine. Over 200, or with payroll and sales tax attached, use a full-service firm. Ask to see a real monthly report pack before you commit. That one request filters out most weak providers.

Yes, most do now. Flat monthly pricing is standard for small business work in New York, and it starts around $200 to $250 a month. Hourly billing survives mainly for one-off cleanup jobs. If a firm quotes hourly for ongoing monthly work, ask why.

A bookkeeper records and reconciles your daily activity and builds your monthly reports. A CPA is licensed by New York State. They can file hard returns, run audits and speak for you before the IRS. Many owners use both. Some firms, including ours, do both jobs in-house.

Yes. Catch-up work is a standard service. Budget $150 to $500 for each month of backlog, depending on volume. Get a written quote first. Hand over clean PDF statements rather than screenshots to keep the bill down.

It is, as long as the firm uses read-only bank feeds, encrypted portals, and two-factor login. Never hand over your online banking password. A real bookkeeper will ask for a proper feed or read-only access instead.

Monthly is the floor. Restaurants, bars and shops should reconcile weekly, because cash volume makes errors pile up fast. Only look at your books in April? Then you are running the business on year-old numbers.
